PRINTREVIVE

Reviewing tables and two-column documents

Check row and column relationships, numeric values and reading order using an authored report example.

Separate visual alignment from data accuracy

Straight rules do not guarantee that values belong to the correct cells. Match the column headings with the original, then read one row at a time from left to right. Merged cells, empty cells and multiline descriptions deserve extra attention.

Borderless tables are inferred from text alignment. Aligned paragraphs may be mistaken for a table, and one table may be split into separate elements.

Inspect decimals and totals

120.00 and 12000 can look deceptively similar. Compare decimal points, separators, currency marks and negative signs with the source. Independently check the relationship between quantity, unit price and total.

The table editor changes recognized cell text. It is not a spreadsheet that automatically recalculates totals when quantities or prices change.

Follow the columns in reading order

Check that the left column flows into the right column rather than alternating individual lines across both columns. Headings, notes and captions can affect inferred reading order.

A positioned PDF and an editable Word file can differ. Inspect the downloaded format before submitting it.

Practise with the authored report

The report shown here is a prepared PrintRevive example. Observe its columns and results table, then open the example on the home page to edit it. This image is not an accuracy measurement from uploaded-document OCR.

Final checks

Keep the original and open the final downloaded file separately.

  • Do headings and row counts match?
  • Have empty cells shifted or rows merged?
  • Are amounts, dates, units and signs correct?
  • Are your corrections included in the downloaded file?
